Automate an agency's client onboarding, lead intake, follow-ups and inbox triage with self-hosted n8n

The business problem

Small agencies lose hours to onboarding, reports, follow-ups and email triage, and forgetful follow-ups quietly cost them money.

What was tried

The seven workflows are client onboarding when a CRM deal is marked won, scheduled client reporting with a branded report, lead capture with enrichment, scoring and routing, reminders for unsigned proposals and unpaid invoices that stop when the client acts, inbox triage where an AI node classifies mail and drafts replies in the house voice, content repurposing from a long piece or call transcript into drafts queued for review, and data sync between CRM, billing and project tools. Each reporting source has its own error handling, and self-hosted n8n avoids per-task fees.

What was reported (not reported)

The article claims the workflows remove real hours of manual work and pay for themselves but gives no hours, dollar amounts or client outcomes.

Limitations

No measured results, specific tools per workflow, AI models, error rates or client counts are given, and only two of the seven workflows use AI. Maintenance, security beyond self-hosting and cases where it does not fit are not covered. The post promotes the author's own proposal and portal products, and the year is not shown.

What you need

A self-hosted n8n server (cost is described only as the price of a small server) and accounts for your CRM, billing and project tools.
