Let an AI operator in Telegram run day-to-day admin, but only propose changes that a person confirms with one tap

A couple running a small coworking space added an AI operator to their Telegram bot. It answers questions from live data and stages bookings, payments, expenses, leads and invoice drafts, but nothing is saved until a person taps Confirm, and invoices stop at a draft.

The business problem

In a small service business most admin happens on a phone, between other jobs. An AI that can change bookings and invoices saves time, but a wrong guess can cost money or a customer.

What was tried

1. Add the AI to a chat channel you already use for alerts (here a Telegram bot). 2. Rule one: the model never writes; it reads live data and builds a concrete proposal showing who, what, when and how much, with a Confirm button. Only the tap saves it. 3. When a detail is missing (which customer, which slot), the AI asks instead of guessing. 4. Keep short follow-up replies such as a time or a desk number attached to the open proposal instead of starting a new request. 5. Ground every number (revenue, free capacity) in the live data and have it say when the data is not there; scope each request to one business's records. 6. For anything that leaves the business, such as an invoice, stop at a saved draft that the owner reviews and sends. 7. Let it reply in the operator's own language, since the saved action is structured either way. Actions it can stage: book, cancel or mark a booking paid, mark an invoice paid, freeze a plan, log an expense, capture a lead and draft an invoice.

What was reported (not reported)

The author describes the design and the list of actions it supports, and says the confirm step gave them the confidence to let it do real work. No usage numbers, error rates or time saved are reported.

Limitations

Vendor: the author builds and sells the software (OhMyDesk) and the post links to its product page. The business is a physical coworking space, so the pattern transfers to online services rather than coming from one. The AI model is not named and no code or configuration is shown. No results or failure examples are given.

What you need

Software or a database holding your bookings, payments and customers that an AI tool can read and write through a confirm step, and a chat channel such as Telegram.
